Most people who start cataloguing a LEGO collection never finish. The reason is almost never the collection — it is a workflow that costs two minutes per figure and never gets faster.

Ask around and you will find a lot of half-catalogued LEGO® collections. A spreadsheet with ninety rows and four hundred figures left in the box. A notes app with some part numbers in it. An app somebody used twice.

The failure is structural, not motivational. If cataloguing costs two minutes per figure, a four-hundred-figure collection is thirteen hours, and nobody has thirteen hours of enthusiasm for data entry. The only fix that works is to attack the per-item cost until finishing becomes plausible.

Here is a workflow that gets the per-figure cost down to a few seconds, and the order of operations that stops you stalling halfway.

The principle: batch everything

Three rules underneath everything below.

  • One photo, many figures. The unit of work is a photograph, not a figure.
  • One edit, many rows. Select fifty rows and set them all to Used at once. Never edit rows one at a time.
  • Rough pass first, precise pass second. A complete rough inventory is worth ten times a perfect partial one, because a partial inventory tells you nothing about totals or priorities.

Step 1 — Sort into trays, not into detail

Fifteen minutes with the whole collection in front of you.

You are not identifying anything yet. You are making four piles:

  • Minifigures — anything that is a complete, standing figure.
  • Sets and boxes — still boxed, or built and identifiable.
  • Parts and accessories — loose torsos, spare heads, weapons, animals, bricks. These are not minifigures; keep them out of the photographs entirely so the scan does not spend effort rejecting them.
  • Interesting — the figures that make you go "hmm". Licensed characters, anything chrome or metallic, anything you do not recognise. This pile gets special treatment later.

Do not attempt to identify a single figure in this step. Sorting is the only job.

Step 2 — Scan the minifigures in batches

This is the bulk of the collection and it goes fastest.

  1. Put down something plain and light — a bath towel is ideal, it kills reflections and figures stand up on it.
  2. Stand twenty to forty figures upright in loose rows, facing you, with a finger's width between them.
  3. Find soft daylight. A window on an overcast day beats every lamp you own. Turn overhead spotlights off.
  4. Photograph the group with the camera parallel to the table. Results stream in as figures are found.
  5. Add the whole scan to your collection in one action.
  6. Refill the rows with the next batch and repeat.

Realistic pace once you have the rhythm: a hundred figures in fifteen to twenty minutes, including the staging.

Step 3 — Sets, one at a time, in Sets mode

Sets need their own mode, because a minifigure detector pointed at box art finds the figures printed on the box rather than anything you own.

Switch the scan mode to Sets, photograph the box front filling the frame, straight on. If you have the set number from the box corner or the instruction booklet, searching the 24,888-set catalogue directly is faster and more certain than any photograph.

Scan the figures from inside each set separately. On many sets they are worth more than the box.

Step 4 — Bulk-set the condition

Now, before you look at any individual row: select everything and set it Used.

This is almost always the correct starting position. If it has ever been assembled, it is Used. Then go back and promote the genuinely sealed, never-assembled items individually — there will be far fewer of them than your optimism suggests.

Doing it in this direction is both faster and more accurate than the reverse. Condition is one of the largest factors in value, and the most common cause of a wildly inflated collection total is marking a loft find as New because the plastic looks clean.

Step 5 — One pass for the stragglers

You will have a set of figures a scan wouldn't name. Do not deal with these as you go — that is exactly what turns an afternoon into a winter. Put them aside during steps 2 and 3 and give them one dedicated pass at the end.

For each one, in order of effort:

  1. Rescan it alone, upright, front-on, well lit, filling the frame. This resolves most of them. Rescanning a photo you have already scanned costs nothing from your allowance, so try twice.
  2. Use "Maybe?" on a low-confidence result to re-run the identification.
  3. Search the catalogue by name. 19,041 minifigures, searchable; pick, set quantity, add. It prices like a scanned figure.
  4. Stop. If a figure resists all three and it is plainly a common civilian, its value is under a pound. Add it as a generic row or leave it out. Perfectionism here is what kills the project.

Some figures genuinely cannot be catalogued, because they are parts mash-ups somebody built from three different figures and no catalogue contains them. Value those as parts and move on.

Step 6 — Sort by value, once

Now sort the finished collection by value, high to low.

This is the payoff, and it tells you where any remaining effort belongs. The top ten rows are worth double-checking: confirm the identification, verify the condition, photograph them properly. The bottom two hundred rows do not need another second of your attention, ever.

Most collections put a startling share of their value in a handful of rows. Finding out which rows those are is the actual reason to catalogue anything.

  • Batch small additions. Let three or four purchases accumulate and add them in one scan rather than one at a time.
